One calendar for your whole team, and proof of where every booking went
The new Calendar page puts Day, Week, Staff and Month views over every diary in your business, marks the bookings your agent took on a call, and flags any that have not reached Google, Outlook or Apple yet.
Your agent has been booking jobs for a while now. It answers, works out what is free, puts the job in the diary and texts the customer the details. That part has worked.
What has been missing is somewhere to stand back and look at the week. Who is on what. What the agent booked while you were under a house with a torch in your teeth. And the quiet one nobody thinks about until it bites: whether that booking actually made it into the diary on your phone.
That is the new Calendar in Talkify, and it is live now. It sits at the top of the sidebar, beside Dashboard and Agent builder, and it puts every diary in your business on one screen.
Four views, because you ask four different questions
- Day gives every person their own column, with the time running down the side.
- Week lays Monday to Sunday out with every diary overlaid, and sits overlapping jobs beside each other so nothing hides behind anything.
- Staff is the capacity view. One row per person, whatever diary the work came from.
- Month is the six week grid for the wider picture.
The grid normally runs 7am to 6pm and opens itself further the moment something falls outside that, because a job at half five in the morning that nobody can see is worse than an hour of empty grid.
Two way with the diary you already keep
Talkify works with Google Calendar, Microsoft Outlook and 365, Apple Calendar and CalDAV. Both directions. Something booked in Talkify turns up in your real diary. Something you put in your real diary turns up here.
And if you keep no calendar at all, which is a great many one van operations, you get one. Talkify keeps a diary for you and your agent books into it exactly the same way. Nobody has to go and open a Google account before their phone can start booking work.
On a call the agent reads that same diary. It knows who is free, it books into the right person's diary, and it will not put two jobs in the same slot. The Calendar is where you see what it did.
The part we actually built this for
Here is the honest reason the page exists. An agent booked an appointment on a call. It saved with us, it never reached the customer's Google calendar, and nobody found out, because there was nowhere to go and look.
So this is not a page that says "here are your bookings". It is a page that says where each booking really lives.
| What you see on a booking | What it means |
|---|---|
| A link mark | It is in your Google, Outlook or Apple diary too. Nothing to do. |
| An amber hatch | It belongs in your real diary and has not got there yet. Press Push and it goes. |
| A red hatch | We tried to write it out and the diary refused. The card tells you why. |
| Sparkles | Your agent took this one on a call or by text. Nobody typed it in. |
| An eye | A read only copy of work from your job system. Change it there and it changes here. |
You can spot a booking that has not landed from across the room, without hovering over anything. That is the whole point of the hatching. Amber clears itself the next time the sync runs. Red never will, which is why red is louder.
Colour means the diary, never the person. Every colour on the page tells you which diary a job belongs to. Everything else is deliberately grey, so the only colour anywhere is colour that means something.
You can actually work in it
- Drag a job to another time or another day. It snaps to fifteen minutes, and the change goes back out to the connected diary.
- Drag across empty space to book. Pull down from ten to half eleven and the booking form opens already filled in with that day and those times.
- Add one by hand from the toolbar, for the customer who caught you at the letterbox.
- Cancel one and it comes back out of the customer's real diary too, rather than sitting in their Google calendar for ever.
Work copied in from a job system will not budge, on purpose. The only place that can be changed is where it came from.
Your jobs board is on it too, starting with Fergus
A trade business does not keep two diaries. The work is in the job system and the Google calendar is half empty, so a page that showed only connected calendars showed an empty Tuesday on the busiest day of the week.
If you run Fergus, your scheduled jobs now draw on the calendar beside everything else, in their own colour, read only. Nothing in your Fergus is touched. It is your week, finally in one place.
Fergus is the first. The rest of the trade systems follow.
A diary is not a person
One of us connected Outlook as "Joels 365", Google as "Joel", and two Apple calendars as "Joels". The page drew four columns, four staff rows and four sets of weekly totals, and a business of one looked like a business of four where each of them was free whenever the other three were busy.
So Talkify now works out which diaries belong to the same person and gives them one column, with their calendars named underneath. It will not guess when it is genuinely unsure. A diary it cannot place keeps a quiet row asking who it belongs to, with a link to go and say, because a row that wrongly claims to be you is worse than one that asks.
Take it with you, and plug it into your own systems
Two more doors on the same diary, and both are open today.
Subscribe on your phone. The Calendar page hands you a private link that drops the diary straight into the calendar app you already carry, on an iPhone, on an Android through your Google account, or in Outlook. Nothing to install and no account to open. It is read only, the link is the whole key so treat it like one, and you can revoke it and issue a fresh one whenever you want. One honest note: phones refresh a subscribed calendar on a schedule of their own and can take a few hours, so the feed is where your week lives and the Calendar page is still where you check whether something has just come in.
A calendar API. If you have your own website form, a roster board or an app, it can now read the diary and book into it directly, on the same API and the same tokens as the rest of Talkify. You decide what each token may do: read the diary, or read it and book into it. Anything filed that way is stamped as coming from your system, so the Calendar page can still tell it apart from what your agent took on a call. The full reference is under Developer and then API docs in your dashboard.
Where to find it
It is in your dashboard, at the top of the sidebar. If you already have a diary connected there will be something on it when you open it.
If you have not connected one yet, Setup and then Calendars is where you do that, and it takes about a minute. If you keep no calendar at all, say the word and we will hand you one.
There is more on the Calendar page itself. If you would rather just hear the thing work, book a demo or get in touch and we will walk you through it on your own account.
Stop reading. Talk to it.
